Creating an Address Book for Group Mailings

Purpose

Address books (also called nicknames or distribution lists) allow you the ability to send one message to an entire group of people all at the same time. You can use this function to send a message to an entire class of students in one easy operation once the nickname has been created. This job aid will help you create an address book and send a message to the book's members.


Accessing the Address Book command

Step 1: Select "Special" from the menu
Step 2: Pull down and release on "Address Book"


Creating an Address Book

Step 1: Select "New" in the address book.


Naming the book

Step 1: Enter a nickname to your group (e.g., Class_1). (Note: Eudora does not allow spaces in the names).
Step 2: Click the box "Put it on the recipient list".


Entering names in the address book

Step 1: Enter your students' email address in the "Address(es)" box. You may also enter comments in the notes box.
Step 2: Close the dialog box.
Step 3: If prompted to save, click yes.


Selecting the address book

Step 1: Access "Message" in the menu bar
Step 2: Pull down to "New Message To"
Step 3: Highlight your desired group on the list


Sending a message to the group

Step 1: Enter your email message. (Note: The address book name will appear in the To: line. The students' email addresses do not appear).


Additional options

You can send a message to more than one address book. This can be done by either typing in the name of the second group, or accessing the address book option from the Special menu, highlight the name of the second group, and click the To: button. You will then see both names in the To: row in your message.

If you don't select the "Put on recipient list" when you first make the book, the names will still appear in when you select the address book option from the Special menu. Use this option when you don't regularly respond to a group (or classes which are no longer meeting). You can add or delete from the recipient list by selecting the recipient list box after you have accessed the Address book from the Special menu.


Note: When you are done with this module, simply close this window to return to the module.
